Typical hazards & measures

• Carbon footprint — Develop a sustainability plan, including the use of renewable energy sources, waste reduction strategies, and carbon offset programs. Encourage public transport and carpooling. Share sustainability initiatives with attendees to raise awareness.
• Safeguarding — Implement a robust safeguarding policy, including staff training and background checks for volunteers working with children or vulnerable attendees. Establish a clear reporting procedure for safeguarding concerns. Provide a dedicated, visible safeguarding team onsite.
• Traffic management issues — Develop a comprehensive traffic management plan in coordination with local authorities. Designate specific entry and exit routes for vehicles, provide adequate parking facilities, and employ trained personnel to direct traffic flow. Encourage public transportation by providing shuttle services.
• Fire outbreaks — Implement a strict no-smoking policy in designated areas and ensure all vendors comply with fire safety regulations. Equip the venue with adequate fire extinguishers and train staff in their use. Establish clear evacuation routes and conduct regular safety briefings with all personnel.
• Electrical hazards — Hire certified electricians to set up and inspect all electrical installations. Ensure all equipment is PAT tested and cables are appropriately covered or elevated to prevent contact with water or foot traffic. Provide residual current devices (RCDs) to quickly cut off power in case of faults.
