• Visitor management and reception safety — Require sign-in, ID checks, and visitor badges. Keep reception areas clear, mark accessible exits, and train staff in emergency procedures. Lock back offices, and supervise visitors in secure areas.
• Cyber security and learner data — Use encrypted storage, MFA, and GDPR-compliant systems for enrolment records. Lock screens when unattended, shred sensitive printouts, and train staff on phishing scams quarterly. Audit systems annually.
• Confidential discussion areas — Provide soundproof meeting rooms or privacy screens, use white noise machines, and establish confidentiality policies. Ensure staff training on sensitive discussions and sign confidentiality agreements with clients and learners.
• Display screen equipment (DSE) and workstation ergonomics — Provide adjustable chairs, monitor arms, and split keyboards. Train staff to set up desks, take micro-breaks, and alternate tasks.
