Typical hazards & measures

• Parking lot accidents — Assign volunteers to direct traffic during busy arrival and departure times. Ensure parking areas are well-lit, and provide clear signage to guide vehicles safely in and out of the lot. Keep pedestrians separated from vehicle paths as much as possible.
• Safeguarding — Ensure all volunteers have up-to-date safeguarding training, and follow local child protection protocols. Obtain parental consent for underage participants, including contact details and medical information. Designate a safeguarding officer on-site during the event to address any concerns.
• Emergency evacuation confusion — Volunteers should be trained in evacuation procedures and assigned specific tasks such as guiding participants or managing exits. Clearly mark all emergency exits, and conduct a pre-event briefing with both staff and attendees about emergency procedures.
• Unfamiliar venue layout — Conduct a walk-through of the venue before the event, marking emergency exits, first aid stations, and potential hazards. Provide this information to volunteers and ensure it is communicated to participants.
• Inadequate first aid provision — Ensure at least one trained first aider is present, and provide a fully stocked first aid kit. Volunteers should be briefed on the first aider’s location and how to contact them in an emergency.
